Information we collect
When you contact us or place an order, we receive the information you provide, such as your name, email address, telephone number, delivery or project address, order details, messages, photographs and artwork. Personalisation may include names, dates, logos and images of other people. Please share only information needed for your project and make sure you have permission to supply it.
Website statistics and shop cookies
Our website uses IONOS SiteAnalytics for visitor statistics and technical optimisation. IONOS states that it uses a pixel or log files, anonymises IP addresses after transmission and does not use cookies for this service. See IONOS SiteAnalytics data processing for details.
The Ecwid shop uses cookies and similar browser storage for functions such as the shopping basket, checkout and customer preferences. Ecwid also documents analytics and personalisation storage. See Ecwid’s cookie information. The final cookie controls and information for this store remain under review before publication; this notice does not claim that all cookies are necessary or that the whole website is cookie-free.
Why we use your information
We use enquiry and order details to discuss your requirements, prepare quotes, agree designs, fulfil orders and arrange delivery or on-site work. Where you ask us to take steps towards an order or we fulfil an agreement with you, the lawful basis is taking steps at your request before a contract or performing that contract.
We keep required accounting and tax records to meet legal obligations. We may use relevant information to answer general enquiries, keep our services secure and handle complaints on the basis of our legitimate interests in running and protecting the business, taking account of your rights. If we rely on consent for optional marketing or portfolio use, you can withdraw it by contacting us.
Services that handle information
IONOS provides our website services and the shop uses Ecwid technology. The shop currently offers manual cash payment and manual bank transfer labelled Monzo bank. Banks process information required for a transfer. We do not ask you to send card details by email or through our enquiry form.
Royal Mail is our chosen delivery provider. When we send an order, we share the recipient, address and contact information needed to deliver it and provide delivery updates. Payment and delivery services may also have their own privacy notices. Delivery options and charges are being prepared and are not yet active in checkout.
How long we keep information
Unsuccessful enquiries and their attachments are deleted 90 days after our last contact, unless discussions remain active or there is a documented reason to retain particular information longer.
Customer photos and artwork working files are deleted 30 days after an order is completed, unless we have agreed to retain them for a repeat order or need particular files for an unresolved issue. Any longer agreed period has a recorded purpose and review or deletion date.
Required sole-trader accounting and tax records are kept for at least five years after the relevant 31 January tax-return submission deadline. Longer periods may apply where HMRC requires them. This does not require us to retain every original photo or artwork file.
We retain only information needed for a complaint, dispute or other legal obligation and review it when the issue is resolved. Separate permission is requested before using customer photos or artwork in our portfolio or marketing.
Your rights and complaints
Depending on the circumstances, you can ask to access or correct your information, request deletion or restriction, object to processing or request a portable copy. You can withdraw consent where processing relies on it. Contact sales@jackandbeam.uk to make a request or raise a concern.
You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint/ or by calling 0303 123 1113.
Outstanding checks before publication
Verify packed-order delivery eligibility and production times; email services and delivery; storefront cookie choices and blocking of non-essential storage; abandoned-basket email conditions; other recipients; provider international transfers and safeguards; and backup deletion arrangements. The website form recipients are set to sales@jackandbeam.uk in the draft, but message delivery has not been tested. These review notes must be resolved and removed before publication.
